          Access Office



          Edinboro University policy requires that all students, faculty and staff carry the EU ID card at all times while on campus.

          The Access Office is located on the 2nd floor of the Frank G. Pogue Student Center.

          • Issue and collect University ID cards
          • Issue long-range proximity cards
          • Grant electronic access via University ID card
          • Distribute and collect physical keys

          ID cards are required for the following activities:

          • Accessing student meal plans
          • Door access
          • Fitness Center admittance
          • Charging books to financial aid at the campus bookstore
          • Obtaining a parking pass
          • Checking out books from the Baron-Forness Library
          • Entry into University athletic games and cultural events
          • If you have a PSECU bank account, the ID card can also be used as an ATM card

          University ID cards are valid as long as the holder is associated with the University and is in good standing. All current students, employees and auxiliary personnel need to have a current University issued ID card that is in good working condition for all Edinboro University campuses. University policy requires that all students, faculty and staff carry the Edinboro University ID card at all times while on campus.

          Students

          • Upon move in, students residing in a residence hall will be provided a room and mailbox key from Residence Life and Housing.

          Employees

          Access Request Form

          1. Download and complete the Access Request Form (above)
          2. Obtain all appropriate signatures based on the level of access
          3. Submit completed form to Access Office via email access_office@edinboro.edu
          4. Upon receipt of the Access Request Form, the Access Office will grant electronic access and/or distribute physical keys.
          5. Requestor will be notified by email when access has been implemented and/or physical keys are ready to be picked up. Physical keys can be picked up and signed for at the Access Office.

          Contractor/Vendor Access

          Regular Business Hours

          • Request access for contractor/vendor by submitting a work order to the Facilities Office via Schooldude. Request for access should be submitted 24 hours in advance. In case of an emergency situation, a phone call to the Faculties Office will be accepted.
          • Information to include in the work order:
            • Name of person responsible for contractor/vendor
            • Phone number of person responsible for contractor/vendor
            • Contractor/vendor company name
            • Contractor/vendor phone number
            • Specific location of area(s) that needs to be accessed
            • Duration of access
            • Purpose of access
          • Contractor/vendor will report to the Facilities Office to obtain the access device.
          • Prior to obtaining the access device, the contractor/vendor will need to provide the following information:
            • Photo identification
            • Contractor/vendor Company Name
            • Contractor/vendor Name
            • Contractor/vendor cell phone number (while working on campus)
            • Building(s) to be accessed
          • Upon receipt of requested information, the Faculties Office will issue the appropriate access device.
          • Upon completion of the work, the contractor/vendor shall return all access devices to the Facilities Office. Access devices returned after business hours can be returned to the Facilities Office key drop box. At no time is a contractor/vendor authorized to leave the campus with the access devices or keep them overnight.

          After Hours

          These procedures will be followed for any contractor/vendor that will require access devices outside of normal University business hours.

          • Access will be requested by submitting an email to the University Police police@edinboro.edu, preferably 24 hours in advance. In emergency situations, a phone call from the requestor will be accepted.
          • Information to include in the request:
            • Requester’s name
            • Requester’s phone number
            • Contractor/vendor Company’s name
            • Contractor/vendor’s phone number
            • Specific location of the area(s) to be accessed
            • Duration of the access
            • Purpose for the access
          • Contractor/vendor will report to the Police Department to obtain the access device.
          • Prior to obtaining the access device, the contractor/vendor will need to provide the following information:
            • Photo identification
            • Contractor/vendor Company Name
            • Contractor/vendor Name
            • Contractor/vendor cell phone number (while working on campus)
            • Building(s) to be accessed
          • Upon receipt of requested information, the Police Department will issue the appropriate access device.
          • Upon completion of the work, the contractor/vendor shall return all access devices to the University Police Department. At no time is a contractor/vendor authorized to leave the campus with the access devices or keep them overnight.

          Areas Requiring Supervision

          • For safety and security purposes the following areas require a University employee to supervise the contractors/vendors:
            • Ross Hall Information Technology Services (ITS) Data Center
            • Frank G. Pogue Student Center Backup Data Center
            • All ITS data closets
            • Cooper chemical storage rooms & labs
            • Residence hall suites, student rooms and staff apartments (occupied)
            • 214 Meadville Street (Commonwealth House)
            • President’s office
            • Police Department
            • Facilities Department
            • Bursar’s office
            • Ghering Health Center
            • Compton Hall basement animal labv
            • Bruce Gallery in Doucette Hall
            • Human Resources and Faculty Relations Office
            • Any office that is known to hold confidential or sensitive materials

          Students

          • Lost or stolen access devices shall be reported immediately to the University Police and the Access Office. If you have residence hall door access, please contact the Residence Life and Housing Office to have the lost/stolen card disabled as this will protect and secure your environment.
          • You can get a temporary door access card from Residence Life and Housing during their regular business hours, otherwise contact your Residence Hall Coordinator or hall staff for assistance.
          • Any lost/stolen ID card should be placed on a hold status immediately. This will disable the use of the card for meals and flex. You can place a hold status through the get.cbord.com/Edinboro website or by coming to the Access Office during business hours. If you lost your ID card and need to access your meal/flex after office hours, please see a manager at any of the dining locations to check out a temporary meal pass card. This card will allow use of meals at Van Houten Dining Hall.
          • A replacement fee will be assessed for all replaced keys and/or ID cards (See Key/Card Fees). The individual who the physical key or ID card is issued shall be responsible for payment of the replacement fee. The individual may appeal the fee, in writing, to the Access Control Committee via the Access Office.
          • In the event that a University physical key breaks or becomes damaged, contact Residence Life and Housing.

          Employees

          • Lost or stolen access devices shall be reported immediately to the University Police and the Access Office.
          • Replacement devices shall be obtained using the same process as the initial request for access.
          • A replacement fee will be assessed for all replaced keys and/or ID cards (See Key/Card Fees below). All charges will be billed to the department originally authorizing the keys and/or the individual to whom the access devices were issued. The individual may appeal the fee, in writing, to the Access Control Committee via the Access Office.
          • In the event that a University physical key breaks or becomes damaged, return the key or all pieces of the key to the Access Office for a free replacement.

          Students

          • Students locked out of their residence hall or room should contact a Residence Life and Housing student employee in the building.
          • If no student employee can be located during regular University hours, the student should contact the Office of Residence Life and Housing for assistance.
          • Based on extenuating circumstances, University Police may use their discretion to make exceptions.

          Employees

          • Employees locked out of their office or classroom during regular business hours should contact the dean or department office for access.
          • Employees locked out of their office or classroom after regular business hours should contact University Police for access.
          • Requests to unlock areas not controlled by the locked out individual will not be honored without the approval of the person responsible for that area.
          • Based on extenuating circumstances, University Police may use their discretion to make exceptions.

          Students

          • Upon moving out of a residence hall, the Office of Residence Life and Housing will collect a student’s residence hall keys, including mailbox key.

          Employees

          • Planned Departure
            • Upon leaving the University, all access devices that have been assigned to an employee will be returned to the Access Office.
            • The Access Office will notify the employee of the access devices that need to be returned prior to their departure.
            • For security reasons, access devices should not be turned over to a supervisor, chairperson or to another co-worker.
            • A fee for unreturned access devices will be withheld from the employee’s final pay.
          • Transferring Offices
            • Prior to transferring offices, a new Access Request Form will need to be completed.
            • Upon receipt of the new Access Request Form, the Access Office will add/remove electronic access and prepare any new keys for distribution.
            • Prior to transferring, any keys that are no longer necessary shall be returned to the Access Office.

          University Alumni ID cards allow you to obtain a University Fitness and Recreational Facility membership. This membership can be purchased at the Bursar’s Office.

          Students

          • Initial cost for University ID card- $10
          • Replacement fee for University ID card- $20
          • Replacement cost for a key (single core)- $25*
          • Replacement cost for a key (master/multiple core)- $75/$100*
          • In the event that a residence hall key breaks or becomes damaged, return the key or all pieces of the key to Residence Life and Housing.

            * If the lock-cylinder must be changed for security reasons, actual costs of re-keying shall be determined by the Access Control Committee.

          Employees and Auxiliary

          • Replacement cost for a key (single core)- $25*
          • Replacement cost for a key (master/multiple core)- $75/$100*
